Die Botschaft der Bundesrepublik Deutschland in Stockholm sucht schnellstmöglich zwei Mitarbeiterinnen/ Mitarbeiter (m/w/div) zur Besetzung von zwei Teilzeitstellen (50%, 20 Stunden pro Woche) im Rechts- und Konsularreferat

Aufgabenschwerpunkte:

. Annahme und Vorprüfung von Passanträgen sowie Geburtsanzeigen, Namenserklärungen und Registrierung von im Ausland geschlossenen Ehen am Schalter einschließlich Schrift-verkehr mit Antragstellern und deutschen Behörden, sowie telefonische Beratung;
. Tätigkeiten in anderen Aufgabenbereichen des Rechts- und Konsularreferats wie z. B. Visa, Beurkundungen und Bescheinigungen;
. Registerführung, Annahme und Abrechnung der Gebühren;
. sonstige Bürotätigkeiten im Rechts- und Konsularreferat, insbesondere Aktenverwaltung.

Anforderungsprofil:

. Sehr gute Kenntnisse der schwedischen und deutschen Sprache in Wort und Schrift auf muttersprachlichem oder annähernd muttersprachlichem Niveau (Niveau C2 des Gemein-samen Europäischen Referenzrahmens für Sprachen);

Roles and responsibilities:
. Work with the Estates Manager to ensure that all planned and reactive maintenance for office and residential property is completed.

. Ensure the grounds and common areas are clean, safe, and presentable.
. Support other members of the Estates team as required. This involves supporting

What will you expected to achieve:

Event Support
. Provide support of all operations at the Ambassador's Residence and assist the Residence team to ensure consistently high standards are met in the delivery of official events.
. Assist with set-up and clean-up of official events, dinners and meetings.
. Assist the Residence Manager & Residence Chef with meeting Health and Safety standards.
. Ensure guest rooms are prepared and welcoming for visitors.
. Support catering services as required, including table setting and serving.
. Liaise with contractors, vendors and service providers.
. Liaise with event leads and other embassy staff in the organisation and management of events.
. Update local leadership team on Residence matters, escalating as required.

Housekeeping
. Monitoring inventory of cleaning and household supplies.
. Perform daily cleaning tasks throughout the Residence including, public areas, guest residential areas, and the Ambassadors' private quarters.
. Manage laundry services, including washing, ironing and folding.
. Organise specialist and/or deep cleaning of Residence as required.
. Follow an agreed disinfection routine throughout the Residence.
. Assist with additional tasks as requested, including errands or special projects.






Essential on arrival:
. Effective verbal communication skills in English and Swedish at a C1 level according to CEFR*
. At least 3 years experience in cleaning, housekeeping duties, events co-ordination and/or other relevant working experience,
. Ability to understand and communicate with wide range of internal and external stakeholders,
. Excellent customer service skills,
. Resilient; able to deal with pressure and work flexibly to deal with competing demands,
. Organised and 'can do' attitude with the ability to work independently.

About the Embassy of Pakistan to Sweden and Finland

The role of the Embassy is to protect and promote the interests of Pakistan and Pakistanis abroad. This involves further strengthening the bilateral relationship between Pakistan and Sweden-Finland in areas such as business, education and culture. The mission also provides the Pakistani diaspora residing in Sweden and Finland with consular services.

The Mission serves under the Ministry of Foreign Affairs in Pakistan.

Qualifications:

The candidate should be a Swedish national with a strong knowledge of Sweden as well as the Swedish culture and society. The candidate should have a Bachelor's degree and a minimum of two years' work experience, good IT-skills and must be fluent in English and Swedish. Knowledge of Finnish would be an advantage.

The candidate should also be responsible, have good organizational and time management skills, as well as to be prepared to work in a multicultural environment.

The position is full time (Monday-Friday 09.00-17.00, one hour lunch is included)

About the Position

Under general direction, the Consular and Passports Officer provides consular and passport services to Australians residing in or visiting Sweden, Finland, Latvia and Estonia. This position is also responsible for undertaking general administrative duties and providing corporate support to the team within the Embassy.

The key responsibilities of this position include, but are not limited to:

* Provide a range of consular and passport services to Australian citizens in accordance with the Australian Passports Act, including client interviews, preparing documentation and processing applications, checking guarantors, financial transactions, providing advice and managing moderately complex casework.
* Provide timely advice and reporting on consular and passport cases, including drafting correspondence and liaising with internal and external stakeholders.
* Undertake prison, hospital and general welfare visits to Australian citizens requiring assistance in Sweden, Finland, Latvia and Estonia.
* Develop and maintain strong working relationships with key stakeholders including but not limited to like-minded missions, police, airlines, funeral homes, prisons and immigration.
* Manage and accurately maintain consular and passport statistics and databases, including timely updates on cases and filing of documents.
* Provide notarial services to clients in accordance with legislative requirements and departmental guidelines including witnessing signatures and certifying documents.
* Prepare and support voting facilities for Australian Federal and State elections and by-elections.
* Provide reception services, including responding to passports and consular enquiries from members of the public, working with relevant colleagues.
* Contribute to crisis preparedness by assisting with contingency planning, consular response team training and assist with consular crisis responses in Sweden, Finland, Latvia and Estonia.
* Ensure public facing information relating to consular and passport services is accurate including on social media, Smartraveller and Embassy website.
* Develop and maintain strong working relationship with Honorary Consuls network in countries of non-resident accreditation.

* Coordinate and provide administrative and support duties, including back-up support as required.

About the Position

Under general direction, the Executive Assistant to the Ambassador of Australia provides high-level executive, administrative and organisational support to the Ambassador and DFAT management team. Main purpose of the role:

. Assist the Second Secretary Political/Economic with delivering key elements of the UK/Sweden Bilateral Strategy. This will require working with trade, defence, tourism, political and consular teams in the Embassy and other relevant partners (e.g.: British Council) to identify opportunities to strengthen the bilateral relationship, and reach established and new target groups across Sweden.
. Actively contribute to and support the wider embassy's needs flexibly. Support corporate objectives as needed, and contribute to embassy life (attending receptions, presenting, engaging in internal committees).

. Fluent level of English (C1 level) and Swedish (at least B level);

Candidate Profile:

. Identify opportunities for UK-Sweden collaboration on serious and organised crime and act as the focal point for the Embassy's work on the issue;
. Develop and deliver HMG priorities in Justice and Home Affairs and Migration policy areas by collaboration with regional and national partners, including the Nordic Baltic network posts, other government departments as well as Swedish officials and municipalities;
. Deliver activity outlined in the Sweden Counter Terrorism country plan to support UK government CT priorities in Sweden and regionally. Lead on work addressing far-right extremism and identify opportunities where exchanges between UK and Swedish officials and experts will strengthen cooperation to combat extremist groups;
. Develop and foster effective relationships with Swedish Government departments and officials, NGO's and Think Tanks to promote UK government objectives and to support quality of reporting to the UK;
. Collaborate with colleagues in the Political Section to support work related to EU Exit;
. Work with the Communications Team to ensure communications opportunities are maximised;
. Co-ordinate and deliver visits to Sweden by UK ministers and senior officials to support justice, security and migration priorities and objectives;
. Provide cover and support for other members of the Political section, as need arises.

Din bakgrund
