The Role As our next Program Administrator, you’ll play a central role in ensuring the smooth day-to-day operations of our vocational programs. You’ll work closely with our cross-functional learning teams, and students to make sure the magic of experiential education at Hyper Island happens — seamlessly, compliantly, and with heart.
This role sits at the core of our Program Operations and supports the delivery of educational excellence by keeping the structure sound and the details sharp.
What You’ll Do

Streamlining admin processes to support facilitators, external industry experts, and students.

Streamlining admin processes to support facilitators, external industry experts, and students.
Managing academic logistics like grades, documentation, funding requisition and graduation tracking.
Ensuring compliance with Yrkeshögskolemyndighetens www.myh.se rules and reporting protocols.
Supporting student cases, especially around study breaks, special pedagogical needs and accommodations and documentation for internship.
Ensure student data is secure, up-to-date, and shared responsibly across systems, especially in our administrative platform Classter.
Collaborating on evaluations and quality reporting alongside our Quality Controller.
Supporting the recruitment and onboarding of student mentors for special pedagogical support.
Providing occasional administrative support for student recruitment through application review.
Help steering committees stay on track with curated documentation and support.

Who You Are
You’re structured, proactive, and thrive in environments where no two days are the same. You bring:

Proven experience in administrative roles (preferably within vocational education, YH).


Excellent communication skills in English and Swedish.


Digital fluency in Google Suite - and excitement about new tools like generative AI.


Empathy, tact, and clarity in working with students from diverse backgrounds.


An eye for detail, paired with a systems-thinking mindset.


A relevant university degree or equivalent higher education.


Working Conditions

This is a full-time role with a 4:1 hybrid model — four days onsite, one day remote.


Occasional travel to our other campuses and industry events may be required.

Som vår Student Recruitment & Sales Specialist på Hyper Island kommer du främst att vara ansvarig för att sälja och marknadsföra våra Diplom program, YH program samt upskill kurser på en global marknad. . Ditt primära fokus kommer att vara att identifiera potentiella kunder, initiera kundkontakt och försäljning via telefon, e-post, digitala möten och evenemang och hantera ansökningar. Vägleda potentiella sökande från första förfrågan till programstart, och säkerställa en smidig ansöknings- och antagningsprocess. Du förväntas ta ansvar för försäljningsmålen för programmen och kurserna, samt , sträva efter att uppnå uppsatta KPI:er och kontinuerligt arbeta med försäljningsoptimering för att omvandla leads till nöjda studenter. Arbetsuppgifter och Ansvarsområden
Hantera inkommande förfrågningar och befintliga studentrelationer.
Driva vår försäljning, med fokus på outreach och kommunikation med potentiella kunder via telefon, e-post och digitala möten.
Ta ansvar för ambitiösa försäljningsmål och se dem som en möjlighet att bidra till Hyper Islands framgång.
Du kommer även att stödja delar av antagningsprocessen såsom granskning av ansökningar, koordinera intervjuer.
Ständigt söka och identifiera nya försäljningsmöjligheter, såsom att utveckla nya outbound-försäljningsstrategier och initiativ.
Vårda relationer och organisera evenemang för att inspirera, informera och antagna studenter innan skolstart.
Proaktivt hantera och uppdatera CRM-systemet (Hubspot) för att säkerställa datakvalitet och korrekt rapportering. Säkerställa korrekt och tidsenlig rapportering av försäljningsaktiviteter och framsteg mot uppsatta mål.
Arbeta effektivt i teamet men också maximera din individuella potential för att optimera kvalitet och effektivitet i försäljningsprocessen och studentupplevelsen.

Din profil
Erfarenhet av att ta kunder genom en fullständig försäljningsprocess.
Utmärkta muntliga och skriftliga kommunikativa färdigheter på engelska och svenska. . Eventuella ytterligare språk är ett plus.

Coordinating program resources such as program budgets. Approving invoices for assigned projects and courses, and cost control according to assigned budgets. Oversee compliance with educational standards during audits.

Responsibilities & tasks

- Ensure that the Programs administration is conducted in a streamlined fashion, questioning every step along the way, and finding ways to make our work more fun.

Provide guidance to Program Managers with regards to rules and regulations from Yrkeshögskolan.

Support students with their logistics inquiries; creating proof of studies, insurance and internship documentation.

Perform grade entries, create diplomas and other graduation requirements.

Manage and create the Programs Steering Committee documentation.

Partake in team development, reflection and feedback sessions.

Champion the Programs evaluation activities, building surveys and reporting results.

Conduct all reporting to authorities and the like (Yrkeshögskolan, CSN, Mecenat, Lynda, etc).

Share the Programs administration duties with two other fantastic Programs administrators, based in Stockholm and Karlskrona.

- Support the finance department on student invoice matters.

The role of the Support Services team at Hyper Island Europe is to make the experience of working and studying at Hyper Island the best it can be. In practical terms, this involves facilities management of our two campuses, managing our core IT systems & services, administration of our 11 full-time programs, and managing the Employee Experience for our 100 staff in Europe.

The Operations Manager is the one that oversees this work and ensures that the members of the Support Services team are supported and have what they need to carry out their duties. As a Business Development intern, your key impact will be on accelerated pipeline production and growth of our online and on-site courses in Europe.

As Admissions Manager you are managing and operationally responsible to assess, admit, support and onboard students to Hyper Island’s long programs. The Admissions Manager is responsible for the planning and execution of the admissions and onboarding process for Hyper Island’s Nordic applicants, and continuous admissions for International students. The Admission Manager is also the main point of contact regarding Migration and student residence permits.

As a member of the Student Recruitment team, under the school umbrella of the Hyper Island business. You will become a key part of the Recruitment Team with a shared goal and focus on achieving our recruitment targets across Hyper Island’s full time programs in Sweden.

Responsibilities & Tasks

Plan and execute the annual Nordic admissions process:

- Duties include quality assurance that the process is in line with Yh guidelines and supports the admin needs and reporting.
- Designing Application Task, Admissions Days activities and hosting all related events, open houses and fairs.
- Coordinate cross-team and train colleagues and current students and hosting and presenting in front of big groups (online and in-person).
- Manage communications to applicants and acceptance lists.


Manage ongoing admission for international applicants:

- Schedule and host our Digital Admissions Days for our international students.
- Create contracts, assess and admit applicants and follow up to maintain and support these long-term relationship


Be the main contact for Migration Agency:

- Advise international students on residence permit and immigration responsibilities, in cooperation with Migrationsverket.
- Manage and maintain well-organized records of student immigration status, and provide them with necessary backup for relevant residence permit applications.


General marketing and content creation:

- You will work with your counterpart on the marketing team to produce communications in email and on the Hyper Island website.
- You will be responsible for the @hyperislandapplicants instagram account and will generally oversee the Hyper Island Application Task Support Group facebook group.
- You may be responsible for producing marketing materials like one-pagers, infographics.

- Previous work experience from sales and administration.

Responsibilities & Tasks

Plan and execute the annual Nordic admissions process:

- Duties include quality assurance that the process is in line with Yh guidelines and supports the admin needs and reporting.
- Designing Application Task, Admissions Days activities and hosting all related events, open houses and fairs.
- Coordinate cross-team and train colleagues and current students and hosting and presenting in front of big groups (online and in-person).
- Manage communications to applicants and acceptance lists.


Manage ongoing admission for international applicants:

- Schedule and host our Digital Admissions Days for our international students.
- Create contracts, assess and admit applicants and follow up to maintain and support these long-term relationship


Be the main contact for Migration Agency:

- Advise international students on residence permit and immigration responsibilities, in cooperation with Migrationsverket.
- Manage and maintain well-organized records of student immigration status, and provide them with necessary backup for relevant residence permit applications.


General marketing and content creation:

- You will work with your counterpart on the marketing team to produce communications in email and on the Hyper Island website.
- You will be responsible for the @hyperislandapplicants instagram account and will generally oversee the Hyper Island Application Task Support Group facebook group.
- You may be responsible for producing marketing materials like one-pagers, infographics.


Experience and competence

- Previous work experience from sales and administration.
- Very organized with good attention to detail - this is crucial for this position.
- Ability to execute long term planning of complicated project with many stakeholders, including your peers and superiors.

As a Program Manager you collaborate in a team of two to four other program managers to design and lead our students’ learning journeys in one or several programs. You’re a creative problem solver, highly collaborative, and flexible in your ways of working. You’ll be reporting to the Team Lead Learning Experience, and work closely with our Hyper Island team as well as clients and our network of collaborators.

We expect everyone on the team to look for opportunities to bring even more value to current and new clients, why you also need to be motivated to help bring in new projects.

This is a role in our Swedish hub, but working with clients across Europe and sometimes beyond. At the moment most of our projects are delivered online or in Sweden, but in the future, this role might include travel for client deliveries.

Examples of responsibilities for a facilitator & learning designer

- Adapt, design, and deliver experiential learning experiences, online, face-to-face, and blended
- Create learning materials: curate and produce content, build landing pages, etc
- Community management for the experiences that you facilitate
- Build trusting client relationships that are aimed at long term partnerships
- Have the potential to be a thought leader in topics of your passion


This is the Experience & Competence we are looking for

You...

- Are a learning designer and facilitator, with a few years of experience from working across industries and with diverse participant groups
- You are familiar with the language, perspectives, and priorities of various stakeholders in the business context (e.g. C-suite leaders, HR, leadership development, learning & development, marketers, creatives, etc)
- Have an interest in and are curious about digital transformation and how it’s impacting society and organizations.
- Passion for areas like Digital Marketing, Technology/Data, and Creativity & Innovation.
