NUTS AND BOLTS OF THE JOB

· Have a comprehensive knowledge of, and ensure that you comply with all statutory local legislation and regulation, in particular, H&S, building regulations and Fire Safety
· Take ownership of the maintenance related responsibilities for the building to ensure that we create a truly unique Generator experience
· Ensure that our social spaces embody the Generator brand and culture
· Maintain all safety and asset register records at all times
· Take responsibility for all equipment onsite ensuring that it is maintained and ready for use at all times
· Maintain and preserve the internal and external structure of the building
· Ensure and identify where possible problems that may affect the guest experience and rectify in good time

NUTS AND BOLTS OF THE JOB

· To assist the Front Office Manager in the overall operation of the Front Office duties and assume responsibility in their absence
· To ensure the standards of work expected are being achieved, thereby maximising sales, revenue and customer satisfaction, measurable by internal and external guest ratings
· To respond to all customer issues/complaints in a caring and empathetic manner. Listen and show you care by giving your undivided attention and handle any issues/complaints immediately, within your authorisations
· To train new and existing staff on all Reception Functions in line with the Standard Operating Procedures Handbook and the Training Schedule issued by your Manager
· To continually monitor staff customer service standards and ensure that staff are providing correct and up to date information to guests and customer service standards are being maintained. Follow up with any staff on any areas that need improving

· Assist with the management of allocations, free sale and overbookings for the property

· Understand and follow company and reservations specific practices

We are not looking our Reception team with a new star, ideally to start as soon as possible. For starters on a casual contract (as extra). Nuts and bolts of the job
• Take ownership of the events and initiatives to ensure that we create a truly unique Generator experience
• Assist the Events Manager in leading, developing and implementing a regular programme of creative, revenue-driving events and initiatives within the hostel
• Responding to all incoming enquiries in an efficient and professional manner
• Ensure all events are dealt with from enquiry to confirmation and that function sheets are completed in a reasonable time frame
• Make sure all relevant parties receive all correspondence relating to an event
• Conduct show rounds of the venue with potential clients wherever possible
• Identify and work with local and international brands on event-led local marketing campaigns
• Drive the private hire proposition and look to monetise social spaces within the property
• Cultivate relationships with local influencers and build a database of useful contacts
• Ensure that our social spaces embody the Generator brand and culture
• Communicate effectively and appropriately in all directions so that the wider team understands the importance of events and is motivated to work towards their success

· To ensure that adequate stock and equipment is available before and during service

NUTS AND BOLTS OF THE JOB
· Manages service aspects in all food and beverage assigned areas and events
· Drives forward Hilma, Generator Stockholm’s leading outlet, to become one of Stockholm’s hottest venues
· Fully integrate events programming to create genuine lifestyle experiences
· Partner with the right suppliers to curate the food, coffee and craft beer experience
· Exceed the budgeted departmental P&L and be commercially savvy in exploring new revenue streams
· Have a knack for activating spaces, making sure every square metre of space is monetised
· Confirms that all service staff are in proper attire and adhere to the concept’s appearance standards
· Hires, manages and trains staff in all technical and non-technical aspects of their role including Hotel standards of quality and service
· Creates, maintains and distributes weekly schedules for staff and communicates changes as appropriate to all
· Communicates with staff regarding reservations and/or special events
· Conducts pre-shift and/or pre-event meetings with all necessary staff
· Evaluates and supervises performance and carries out disciplinary action as needed, in accordance with the Hotel’s policies
· Ensure 100% guest satisfaction
· Responsible for employee relation issues and reviews incidents with General Manager
· Completes and administers employee performance appraisals
· Conducts beverage, china, glass etc. inventories
· Controls costs of beverage outlet by assisting management, as requested, in purchasing, maintaining effective profit and loss controls and monitoring labor costs following demand patterns, budget and local labor laws
· Maximizes food and beverage sales by identifying and targeting sales opportunities through marketing including promotions and special events and by training staff on “up-selling.”
· Trains staff in and adhering to all safety, sanitation, food preparation, food storage and alcohol beverage control policies including confirming legal drinking age and discontinuing service to intoxicated guests
· Maintains guest satisfaction by handing inquiries, concerns or comments and providing solutions; acquiring feedback from guests and co-workers in order to ensure satisfaction and/or implement service improvement ideas; developing new concepts to ensure customer satisfaction and repeat business
· Maintain consistency of service by being aware of and prepared for all events, large parties and reservations that may affect food and beverage service operations
· Communicates and teams well with other departments.

· Take ownership of the guest journey to ensure that you continuously raise the bar and create a truly unique Generator experience

· Be assigned to a department, either Reception/Travel Shop, or Cafe, but you may cross over to other outlets temporarily or permanently depending on your skills, ambitions and business requirements

MEETING AND CONFERENCE MANAGER

NUTS AND BOLTS OF THE JOB
· Identify new business opportunities and engage with potential customers for new business focusing on direct business for meetings & events and the continue promotion of our signature bar Hilma
· On average 70% of the workweek should be spent on attracting new business and 30% on the organization of enquiries
· Taking a hands-on approach to the roll out, development and implementation of meeting and events business
· Gather market and client information, providing feedback on buying trends
· Activate appropriate sales strategies for the property during need periods, i.e. telesales, agent promotions, tactical projects, trade shows
· Facilitate full rate quotation on enquiries and contracting for local accounts
· Represent the Hostel at local trade exhibitions and local events if requested
· Prioritise all meeting and event sales leads generated from and for the property
· Develop account action plans and long range planning schedules
· Enthusiastically build long term client relationships
· Actively contribute to the commercial business opportunities for the property
· Ensure sales targets are achieved for meetings & events and Bar outlets in Stockholm
· Report on activity on a weekly, monthly and annual basis
· Report on client production and account management statistics
· Increase local awareness of the property and the Generator network
· Respond to and process all meeting & events inquiries
· Ensure that all the administrative documents are prepared and maintained for the hostel team and client
(from proposal to billing/after sales)
· Compose, publish and distribute function sheets to all department heads
· Act as liaison between all related hostel departments for your meetings & events to ensure complete guest and customer satisfaction
· Perform other duties as deemed necessary for the success of the department and Generator Stockholm

· Have at least 2 – 3 years hospitality experience with proactive sales and meeting & events experience
· Experienced within the Swedish / Scandinavian market
· Tertiary qualification achieved
· Fluent in Swedish and English
· Social, connected and well informed on the trends and markets within hospitality
· Be able to communicate at all levels
· Demonstrate strong attention to detail
