The International Institute for Democracy and Electoral Assistance (International IDEA) is an intergovernmental organization of 35 member states that supports sustainable democracy worldwide through policy-relevant knowledge, capacity development, advocacy, and dialogue.
The Institute delivers this through comparative knowledge, research, global tools, and technical assistance to support democratic reform at national and global levels.
Its work covers six areas: Electoral Processes; Constitution-Building and Rule of Law; Political Participation and Representation; Democracy Assessment; Digitalization and Democracy; and Climate Change and Democracy. Cross-cutting issues include gender equality, inclusion, and money in politics.
The Digital Communications Officer coordinates and strengthens digital and multimedia communications across teams and offices to enhance the organization’s online presence. The role works closely with headquarters and regional teams to gather information, prioritize content, and respond to relevant developments.
The post holder writes, edits, visualizes, and targets content to promote key issues, events, and resources. Core areas include multimedia storytelling, outreach, social media, website management, and digital advocacy campaigns, in line with International IDEA’s Communications Strategy. The role also supports global communications priorities as needed.
Duties and Responsibilities
Provides communications and media support for events, including coordination of technical aspects, broadcasting, livestreaming, and promotion;
Coordinates and supports regional communications staff to decentralize communications;
Writes, edits, and coordinates digital content, including articles, storytelling packages, and outreach materials;
Coordinates social media content across platforms, including posts, toolkits, and visual assets, and supports digital advocacy campaigns;
Creates infographics and digital assets for online and presentation use;
Produces and edits videos, including outsourced projects, and coordinates with external media providers;
Acts as in-house video editor, managing production, editing, and livestreaming, and identifying when external support is required;
Produces podcast content and provides audio editing support using Adobe tools;
Acts as in-house visual designer using tools such as Adobe Photoshop and InDesign;

The Administrative Assistant will provide administrative and logistical support for the project and activities, ensuring adherence to International IDEA and donor policies and procedures.

Duties and Responsibilities
- Ensures the timely provision of administrative and logistics services to the office, programme staff, consultants and teams;

Technical responsibilities include high profile event support, audio, video, conferencing technology, projects, maintenance, support. Occasional travel to International IDEA field locations is required.
Duties and Responsibilities
Project manage the coordination of IT support for International IDEA events at HQ and remotely for field office locations; Interface with end users and vendors to address requests and requirements;
Prepare work plans and timelines, including the preparatory and logistical elements needed for events; Track progress and report against the work plan; Liaise with cross-functional teams and internal users before and during events; Lead planning calls and meetings to track status of deliverables and ensure effective and efficient execution of events;
Identify graphic and audio-visual needs for events, coordinate production in partnership with event owner(s), the Communications team, and other relevant stakeholder to ensure requirements and deadlines are met;
Conduct research for A/V suppliers; Liaise with external suppliers, and A/V crews to ensure delivery of contracted IT services and effective and efficient execution of all A/V logistics for events;
Perform all necessary pre-event checks as required; Provide on-site A/V coordination of and at events where applicable; Perform equipment setups, breakdowns and troubleshoot issues;
Ensure the installation of all AV equipment and displays to include audio and video conferencing equipment, distributed audio, digital signage, control systems and all presentation systems; Support development and implementation of new computer projects and supervise contract-based installations; Problem solve and troubleshoot issues that may arise during installation;
Liaises with service providers and local IT service providers at the field offices to provide support to end users on computer operations and communication tools; Co-ordinates and assists with training to IDEA Staff Members in matters pertaining to the use of IDEA IT systems;
Ensures policies, procedures standards and safety guidelines are adhered to;
Monitors the status of service requests to ensure timely response times; Ensure that SLAs and daily deliverables are met including ticket updates;
Performs office administration including processing invoices and assists with coordinating project and task allocation; Assists with the creation and maintenance of all documentation relating ICT services and procedures; Assists the team in preparing contractual arrangements with external partners;
Responsible for oversight of inventory including weekly/monthly stock levels, returning product and inventory issues.

Functional Knowledge
Expert knowledge in supporting events, online, on-prem and hybrid events, including experience in video conferencing platforms like CISCO WebEx, Blue Jeans, and online simultaneous interpreting platforms;
Excellent experience in remote management and deployment tools; Impeccable wiring and termination skills as well as proper installation techniques of all AV equipment;
Knowledge in handling administrative processes e.g., procurement and invoice processing
Knowledge in monitoring contracts and ensuring adherence to SLAs;
Understanding and adherence to governance and procedures; policies, standards, and procedures.

Education and Experience
University degree in IT, Computer Science or Business Studies or similar qualification;
Minimum three (3) years of experience in similar role of event coordination and project management, including experience in global events;
Professional experience in supporting computer-networked environments;
Experience in supporting Cloud applications e.g., Office 365 and cloud-based communication tools e.g., CISCO WebEx, BlueJeans, Multi-lingual simultaneous interpreting platforms;
Experience of working in an international context, e.g., in an intergovernmental organization, considered an advantage;
Communicates fluently in written and oral English. Any other widely spoken language in an International IDEA priority region would be an asset.

Remuneration - SEK 28 805 Net per month

Context
Responding to increasing challenges to democracy and a shrinking democratic space around the world, including in more established democracies, International IDEA’s Democracy Assessment team, through its Global State of Democracy (GSoD) Programme (established in 2016 as part of International IDEA’s Global Programmes), seeks to contribute to the global debate on democracy and inform the development and implementation of strategies and policies that build, advance and safeguard democracy worldwide.
Since its launch, the GSoD programme has completed 3 two-year programme cycles, which have been organized around a variety of different knowledge products, including International IDEA’s flagship Global State of Democracy Report, an annually updated statistical dataset on democratic quality, now covering 165 countries in the world (GSoD Indices) and shorter thematic policy briefs on current issues in the democracy debate (GSoD In Focus).
The flagship GSoD Report, published in 2017, 2019 and 2021, provides evidence, data, balanced and impartial democratic quality and trend analysis at global and regional levels, as well as thematic and country case studies geared specifically to international, regional and national policy makers and civil society organizations working on democracy and governance-related issues. The third edition of the GSoD Report will be launched in November 2021.
The Democracy Assessment team is now recruiting an Associate Programme Officer with strong analysis and writing skills to contribute to the GSoD programme. The APO will be required to conduct research, support others’ research tasks, serve as a liaison with the Communications team, and carry out other tasks, as required.
Duties and Responsibilities
Conducts substantive research support (primarily qualitative, with the possibility of some quantitative research) for the DA team, including as related to the Global State of Democracy global report, regional reports, thematic papers, and other research products
Contributes analytic support to work products, as assigned
Assists in the development of visualizations for reports and other work products
Supports team members in the development of funding proposals
Serves as a point person for communications issues within the team
Supports the team’s communication and outreach activities
Helps to manage the DA team’s social media content, including ensuring that there is a social media calendar and ensuring the content is produced on time and is of high quality
With the supervision of a DA team member, leads the development of certain communication products, as relevant and assigned
Assists in ensuring that the team’s communications strategy is kept updated and is being well implemented
Tracks and reports on the outputs and outcomes of DA’s knowledge products and outreach efforts through regular results reports.

Excellent knowledge in written and oral English required. Knowledge of at least one other widely spoken language in an International IDEA priority region (Arabic, French, Spanish) would be an asset.

Education and Experience
University degree in Political Science, Law, or related field.
Minimum three (3) years of experience working within the field of democracy, rule of law, or governance support, including substantial internship(s).
Experience conducting research and analysis, ideally including qualitative and quantitative methods.
Knowledge of and experience in the field of democracy analysis and assessment, including in at least one region (preferably the Middle East or Asia/the Pacific) and/or specific topic.
Experience designing/creating websites and working with social media, web-based blogs, and digital marketing is an advantage.
Experience working in intergovernmental organizations or international NGOs is an advantage.
Varied writing experience, including in at least one of the following sectors: policy, academia, media, and/or law.
Experience in supporting or leading communications work, including event planning and management and publicity (via mainstream and social media).
Experience in project management would be an advantage.
