Dina arbetsuppgifter
Arbetet innebär reparation och felsökning av kaffemaskiner samt rengöring, funktionstest och säker paketering innan maskinerna skickas tillbaka till kund. Du registrerar utförda reparationer och testresultat i vårt interna datasystem och ansvarar för att skapa fraktetiketter samt se till att rätt dokument följer med leveransen. I rollen ingår även att hålla ordning på reservdelslagret och säkerställa att nödvändiga delar finns tillgängliga. Vi ser gärna att du bidrar med idéer för hur vi kan förbättra våra reparations- och arbetsrutiner.

Job Summary:
We are seeking a proactive and detail-oriented Part-Time Operations and Logistics Support Agent to join our small but dynamic team. In this role, you will work closely with the Logistics and Afterservice Manager to handle customer support errands and operational tasks. To a large extent, your work will involve managing customer inquiries, resolving issues, and ensuring smooth afterservice processes.
This position requires a commitment of 5 working days per week, with 2-3 days of physical presence in our office, offering flexibility for remote tasks on the remaining days. We value a hands-on approach and encourage individuals who can bring fresh ideas to improve the help desk processes, especially through automation and process optimization.
Key Responsibilities:
Help Desk and Customer Support:
Respond to customer inquiries via email, chat, or other communication channels in a timely and professional manner.
Address afterservice issues such as order discrepancies, product returns, and troubleshooting inquiries.
Collaborate with the Logistics and Afterservice Manager to resolve more complex customer issues.
Identify opportunities to improve help desk processes, with a focus on efficiency and automation.



Operational and Administrative Tasks:
Send invoices and ensure accurate documentation of billing processes.
Send replacements, issue refunds and handle repair processes promptly and maintain clear records for reconciliation.
Keep track of necessary supplies, spare parts, or other requirements.
Keep an overview of the afterservice data and create monthly reports.



Shipping and Packaging:
Pack and label boxes for shipping with accuracy and care.
Follow up on shippings to ensure timely dispatch and delivery.



Inventory and Stock Management:
Help maintaing a clear and organized spare parts inventory.
Keep track of stock levels and report discrepancies.



Ad-Hoc Tasks:
Take on additional responsibilities, such as preparing repaired products for shipping, conducting inventory counts, packing pallets, or assisting with general upkeep.



Qualifications and Skills:
Experience: Prior experience in customer support, help desk operations, or logistics is a plus but not mandatory.
Technical Skills: Familiarity with invoicing tools, inventory systems, and customer support platforms is beneficial. Experience with automation tools is a bonus.
Problem-Solving: A proactive approach to resolving customer issues and improving processes.
Attention to Detail: Strong organizational skills for accurate stockkeeping and process management.
Communication: Excellent written and verbal communication skills in English and Swedish. German is a bonus.
Flexibility: Willingness to take on varied tasks in a small-team environment.

Din profil:
Vi söker dig som är strukturerad och noggrann och kan samarbeta lika bra i team som du klarar av självständigt arbete. Vidare är du engagerad och har en förmåga att ta hänsyn till detaljer likväl som att se och skapa dig en helhetsbild för att kunna genomföra ditt arbete med hög kvalité. 3-5 års arbetslivserfarenhet inom en liknande roll
En formell utbildning inom Supply Chain/Inköp/Logistik eller Finans
Erfarenhet av att arbeta med ett ERP-system som Fortnox eller linkande
Bekväm att arbeta med Excel
Ett intresse för att utveckla och optimera arbetsprocesser

Sales:
Plan and create mutual forecast together with our resellers and partners

Support customers and the internal organization by answering questions on delivery status, article numbers and stock levels
Support sales organization with sales data analysis and market data analysis

Logistics:
Facilitate the shipping of products from one destination to another
Arrange transportation, schedule staff, and orchestrate deliveries to meet customer demand with little to no delay
Manages activities throughout the order fulfilment and transportation cycle to make sure established deadlines are met
Oversees inventory of goods and vehicles
Continually review freight costs, transportation rates, and/or the prices of raw materials to keep costs down where possible
Work proactively with streamlining shipping and transportation processes to have an efficient administration document handling needed for international trade
Be main contact towards our 3PL partner to administer all deliveries coming in and out of our warehouse



For the Sales and Logistics Coordinator role, we expect you to have:
3-5 years working experience within a similar role
A formal education within Supply Chain/ Buying/ Logistic or Finance

We’re now looking for a driven Junior Content Marketing Manager to join our global e-commerce team and help us shape the exciting journey we have in front of us.
Sjöstrand has set an ambitious plan to increase the reach of our brand, and deliver personalised communication based on behaviour. As Junior Content Marketing Manager, you will have a golden opportunity to grow together with Sjöstrand. Learning everything there is to understand about the digital media landscape and e-commerce. Together we will reach the defined goals and change the way we work with marketing and sales. As Junior Content Marketing Manager, you will be part of the global e-commerce team, located in Stockholm, Sweden, and work closely with our colleagues in Sales, and Logistics. You will get to work on an international level, serving markets such as Germany, France, Sweden, and U.K. in online channels such as websites, e-commerce, newsletters, and social media. The role is part time with a great opportunity to define the working hours/scheduling to be able to combine with ongoing studies. Together we will improve our customer communication throughout the funnel, worldwide!
For the Junior Content Marketing Manager role, we expect you to have knowledge of:
· Producing visual content for web and social media.
· Skills in Adobe Creative Suite, especially Photoshop, Illustrator, and Premiere Pro.
· Good communicational skills, grammar in writing is no problem.
· Understanding of SEM.
· Creative thinking and passion for problem solving.
· A high level of curiosity on customer needs.
· Good skills in English, both written and spoken.
· Other languages are a plus

An exam or ongoing education in Media Technology, Digital Media Marketing, or similar.
A strong will in learning and understanding today’s field of digital marketing.
Structured, well organized with a high level of time management.

Customer Service Agent (part time/summer job)

Everyone loves great service. Not everyone is good at offering great service. For us at Sjöstrand we are passionate about setting a new standard in our industry for the service experience. It doesn’t mean that we always believe that the customer is right. But we believe that the customer should always have a great service experience, no matter what. We are also passionate about digital processes and using the many great tools available at the market as a part of our service design process, to be able to service the customer in his or her preferred platform.
We are strong believers in the right to repair, therefor we have created a circular business model for our design icon – the Sjöstrand Espresso Capsule Machine. This creates a more complex customer service process, but on the other hand, it should be natural to keep the lifetime of a product for as long as possible. A lot of people seem to agree with us, so we’re growing on many markets and we now need to grow team in Stockholm to continue to design and give the best service experience.

In the role you will handle customer service errands via mail, web form, web chat and Facebook, all in one system, Live Agent. You will also handle ordering and invoicing to our retail customers. Handle service errands with contact to customers and service repair shops. The job is part time and you can impact your schedule and work hours.
For the Sales and Customer Service Agent role, we don’t expect you to have a long CV track record, but we expect you to have:
· A passion for great service.
· Good communicational skills, grammar in writing is no problem.
· Creative thinking and passion for problem solving.
· A high level of curiosity on customer needs.
· Good skills in English, both written and spoken.
· German or French is a great plus since we grow rapidly in these markets.
· Knowledge in Live Agent or any other Help Desk Software (is a plus as well as knowledge customer sales administration).
