Duties

The Political-Economic Specialist is the senior locally employed staff member in the Political and Economic Section, supporting the section and Front Office on a full range of political-economic reporting, analysis, and engagement to advance U.S. interests in Sweden. The American Citizen Services (ACS) Assistant supports the Embassy’s Consular Section by providing passport, citizenship, and special consular services to United States citizens within the consular district. The position manages intake and processing of passport, Consular Report of Birth Abroad, loss of nationality, and notarial applications in accordance with the Foreign Affairs Manual, relevant United States laws, and Department procedures, preparing cases for final adjudication by a Consular Officer and identifying potential fraud concerns as needed. The Immigrant Visa (IV) Assistant is responsible for all aspects of processing immigrant visas. Duties:

Duties
Performs full range of visa processing work including reviewing applications, performing data entry, capturing photos, and printing visas. Has joint responsibility to ensure that all applications are received, entered, and processed according to a relatively complicated set of laws and procedures so that the Consular Officer can make decisions and ensure that the legal requirements of the application have been met. Principal responsibility for preparation and follow-through on NIV waiver cases, drafting Security Advisory Opinions, and initial review of documents and completeness of E-visa applications. As ACS assistant, performs full range of ACS work with highest priority given to providing protective services to Americans, including assistance during emergencies, to individuals arrested or endangered, and to families of deceased Americans. Communicates regularly with the Swedish Ministry for Foreign Affairs in order to report on such cases to consular officers and to the Department. Has joint responsibility to ensure that all citizenship and passport cases are handled according to a complex set of laws and procedures so that the Consular Officer can make decisions and ensure that the legal requirements of each case are met. Provides special consular services such as notarial services and voting assistance. Answers public inquiries for ACS-related issues. Secondary duties include providing administrative support to the entire section, including travel arrangement and time and attendance for the section. Duties
The Supply Clerk (Receiving) manages the receiving, tracking, inspection, distributing, and inventory of property management services for the Department of State and associated agencies.
Reviews procurement documents, packing slips and other documents in English and local language and evaluates that received property corresponds in condition and quantity to the order as placed by the procurement office. Physically inspects deliveries to ensure that they reflect the delivery/packing list, that any damage is noted and that deliveries meet the terms, conditions and specifications included in procurement documents.
The incumbent is responsible for assigning and affixing asset barcodes where required, and for entering asset level details into the Department’s property accountability system.
Incumbent coordinates with post security office, local guard force, and others as required to obtain appropriate permissions for access of deliveries including but not limited to vendors, delivery personnel and/or delivery trucks to the Embassy/Consulate, in a timely manner.
The position is in the General Services Section and under the supervision of the Warehouse/Property Supervisor.
Requirements:

Major Duties and Responsibilities
a. Staff:
Supervises a staff of three;
Instructs the Cook about upcoming events;
Makes all arrangements for luncheons, dinners and receptions after coordination with the Ambassador;
Counsels the household staff when problems arise;
Monitors staff time and attendance, annual leave and sick leave slips.

b. Residence Calendar:
Checks daily with the Ambassador on his/her needs;
Acts as liaison between the Ambassador’s Office, the Protocol Office at the Embassy and the Residence;
Works with the Ambassador and the Protocol Office on guest lists and table seating and special food requests (vegetarian, dietary plans);
Does most of the non-food shopping for the Residence (ordering and buying flowers, etc.).

c. Accounting/Vouchering:
Maintains the financial records of the Residence.
Prepares vouchers;
Replenishes petty cash fund to carry out duties (i.e., shopping for food, cleaning materials, flowers, etc.).

d. Organization/Maintenance of Residence:
Submits work orders to the Embassy’s Facilities Management Office and/or General Services when maintenance crew is required to perform maintenance and/or repair work at the Residence;
Coordinates basic security issues pertaining to visitors and guests for entrance passes or authorization to the Residence with the Regional Security Office and the security guards at the Residence.
Runs errands for the Residence and therefore need their own car while on duty.

e. Performs other duties as assigned.
QUALIFICATIONS REQUIRED:
Education: College education with vocational training in office/hotel administration.
Work Experience: 5 years in a similar position in a hotel or similar institution.
Language: Good working knowledge of English and Swedish.
Abilities and Skills: Basic knowledge of bookkeeping, accounting and Human Resources practices, protocol policies, good diplomacy and interpersonal skills, supervisory skills; must be flexible, creative and be able to manage a household and staff with a quickly changing agenda. Valid driver’s license.
