Executive Assistant at Milkywire

We're looking for a highly organized and proactive Executive Assistant to support our Founder and CEO in our core operations. This role is ideal for someone who excels in a fast-paced environment and is keen to be a cornerstone of a dynamic startup.


Key Responsibilities:
Schedule Management: Oversee the CEO's schedule, ensuring efficiency in daily operations and efficiently managing stakeholders.
Internal and External communications: Support in all written communication.
Administrative Functions: Streamline tasks including research, meeting notes, follow-ups, and travel coordination.
Event and Office Management: Organize and support office events and team activities.
Financial Management: Handle expense reports, budget tracking, and invoicing.
Human Resources Support: Assist in recruitment, onboarding, and managing employee records.
Strategic Planning Assistance: Prepare for and follow up on strategic meetings with data gathering and report preparation.
Internal Communication: Facilitate internal updates or newsletters.
Customer and Client Interaction: Proactively act as a liaison with important clients or stakeholders.
Project Management: Lead or contribute to projects, ranging from company events to specific initiatives.
Technology Management: Manage or support IT-related tasks such as managing Milkywire internal web in Notion.
Personal Assistant Tasks: Handle personal tasks for executives, as needed.



Skills and Qualifications:
5+ years experience as executive assistant, or equivalent, in a high paced environment is required.
Strong project management background, with experience in roles such as project manager or coordinator in a plus.
Strong financial understanding and focus.
Outstanding verbal and written communication skills in English.
Proven exceptional organizational abilities, attention to detail, and a structured task approach.
Initiative-taking self-starter, capable of managing multiple projects with high-quality deliverables, constantly evaluating to identify opportunities for improvements.
Proven proficiency in digital tools is a requirement.
High proficiency in Google Suite, Canva, Slack, and Notion is valued.



Education:
Bachelor's degree or equivalent.


Language:
English native or near-native proficiency in speaking and writing.

Milkywire is currently hiring for the role of Impact Relations and Quality Assurance. The position focuses on two core components: maintaining relations with the impacters and organizations on the Milkywire platform as well as proactively working with quality assurance regarding our impact products and tools. The role is expected to proactively drive these two areas within Milkywire.


The responsibilities
Impact relations responsibilities include but are not limited to;
Be the voice of the organizations (Impacters) we support internally at Milkywire. Make sure their needs, wishes, ideas and issues are highlighted – through you – to relevant stakeholders within Milkywire
Coordinate and manage the onboarding of new impacters to the platform together with relevant team members
Keep continuous contact with the impacters and together with relevant teams provide support, answers to questions, send reminders on reports and set up meetings and interviews with impacters
Conduct surveys towards organizations, analyze, summarize the results and present them to the Milkywire team and add to KPI’s
Manage and develop both our external FAQ on our webpage as well as our internal FAQ page in Impacter Tools



Quality assurance responsibilities for Impact Tools include but are not limited to:
In collaboration with other teams and team members identify issues and pain points, as well as potential needs in regard to impact tools and follow up on progress to manage these
Execute quality improvement testing and activities when new features, tools and processes are developed
Be a part of developing new formats, tools and ideas that can make impacters' use of the platform more smooth as well as enhance the giving experience through improved feedback and reporting
Communicate issues and errors to relevant team(s)
Work closely with product teams to improve existing products

We’re looking for someone in Stockholm to join the Content team as an Editorial Producer. It’s a creative role with a lot of freedom for an ambitious person who loves content creation and storytelling. The focus of the role will be on video production, deciding what stories to highlight and how, plus onboarding new organizations to the platform, coaching them in how to best tell their story.

We need someone who
Takes lead on video production from start to finish, including coming up with ideas, conducting in-depth interviews, setting angle/story, creating briefs for an editor and then working closely with them to create the video and make it fit for different platforms (the app, social media, corporate partnerships etc.)
Takes charge of the main page in the Milkywire app, deciding which stories to push and how. Producing the content (videos, texts, gif:s, pictures etc.) with the help of editors and a copywriter.
Continuously evaluates the performance of different formats, story angles and tonality and develops the storytelling accordingly.
Can work closely with different areas of the company (marketing, corporate partnerships, social media team) and create content assets for them when needed. E.g. producing videos with another company’s visual tonality or creating paid ads for social media.
Can be a great asset in brainstorming sessions to help push our content creation forward.
Can onboard new nonprofit organizations to the platform, including coaching them on how to best communicate their work through video and picture updates, plus setting up their profiles in the app.

The profile
You need to be driven and adaptable, and like working in a fast-paced environment where a lot of personal initiative and ownership is required.
You should be able to work both independently and also closely with other team members.
You need to be able to take feedback constructively and sometimes work according to someone else’s brief.
