The Embassy of Belgium in Stockholm is Belgium's diplomatic representation to Sweden and Latvia. We also provide multilingual consular services to Belgians within our jurisdiction.

JOB CONTENT
As a consular assistant, you are responsible for, inter alia:
- Registering new Belgian citizens or modifications to their personal situation in the relevant databases;
- Handling applications for passports and identity cards;
- Assisting with other consular work: e.g. regarding nationality, legalisation or emergency consular assistance to Belgian citizens;
- Searching for and keeping up-to-date information useful for colleagues' work;

The Belgian Embassy in Sweden is seeking a Polyvalent Maintenance Service Agent (M/F/X) for the Ambassador's Residence, located in the heart of Östermalm, near Karlaplan.

Job Description


1. Cleaning

. Sweep, vacuum, and mop the floors of all rooms and terrasses using appropriate products (depending on the type of surface);
. Tidy the apartment, change sheets, and make beds;
. Manage waste and handle recycling;
. Dust furniture, objects, and carpets and ventilate rooms;
. Clean glass surfaces (windows and light fixtures) inside and outside the residence;
. Wash and iron, fold, and sort clothing and other items.

2. Personalized Guest Service

. Manage the residence agenda and plan tasks accordingly.
. Ensure priority is given to the needs of users (internal and external) and offer prompt, proactive, personalized, and efficient service.
. Control and supervise third parties operating at the residence, such as catering services and additional waiters.
. Prepare simple breakfast or dishes upon request

3. Service and Event Management

. Correctly identify guests and welcome them to the residence.
. Coordinate events with the Ambassador's Assistant.
. Answer phone calls and manage the agendas of external suppliers/contractors and supervise them during their stay at the residence.
. Set the table at events at the residence (breakfasts, lunches, dinners, coffee breaks, cocktail parties, receptions, and events).
. Set and clear the table after events.
. Serve guests at the table.


4. Maintenance

. Care for and treat parquet and wooden furniture.
. Regularly inspect the overall condition of the residence, including structure, china, glassware, lighting, and furnishings and clean them if necessary
. Stock the restrooms daily with toiletries (toilet paper, soap, etc.).
. Regularly check that the necessary materials are available (quality and quantity).
. Help moving furniture in case of events.

5. Maintenance of inventories and supplies

. Check the inventory of the cellar for events.
. Update inventory of utensils, tableware and cutlery in the residence.
. Manage and coordinate the necessary food products and supplies. Occasional shopping if requested


6. Kitchen

. Prepare simple breakfasts, lunches and dinners.

Contract start date: December 1, 2025

Contract: Full time contract ( 37, 5 hours a week)
Contract of one year, renewable, with a probation period of 6 months, subject to Swedish law.

Salary: Attractive salary package. Substantiated experience with a diplomatic residence or in a similar position can be taken into account.

You will be responsible for accounting matters and diverse administrative tasks and will work under the direct supervision of the Consul.

The position will be vacant from June 15th 2020 on.

Main tasks
- follow up on all payments (rent, salaries, invoices from suppliers, .);
- register the payments and incomes in Accounting (IT application developed by the Belgian Ministry of Foreign Affairs);
- prepare accounting reports on a monthly basis for the MFA HQ in Brussels;
- be in contact with Belgian and Swedish administration agencies, contractors and suppliers;
- provide administrative support in the realm of office management, communication or consular support.

Qualifications
- very good to excellent written and oral knowledge of French or Dutch, Swedish and English;
- good knowledge of the Swedish administration agencies;
